Instruct-ERIC is looking for a Hub Coordinator to join their team. This is a senior role working closely with the Instruct Director who is located outside the UK. You will therefore represent the Director in many of the day-to-day tasks required to run the Instruct Hub operationally, ensuring Instruct-ERIC operates legally and efficiently. The Hub team currently includes 12 team members and has a fast-working pace with multiple interconnecting projects and tasks in operation simultaneously. This role requires someone with excellent problem solving and multitasking skills and quick responsiveness to requests and questions from all stakeholders.

The Hub team has flexibility to work from home and in the office. This also applies to the Hub Coordinator.

Responsibilities

The Hub Coordinator is the Executive Manager for the day-to-day operations in the Hub, representing and actioning Instruct-ERIC core objectives and decisions taken by the Director.

The Hub Coordinator also oversees the operational delivery of all external funded projects to ensure their adherence to reporting timelines and delivery of contractual obligations.

Essential

The Hub Coordinator will:

  • Support the Director in engagement with European and international bodies and initiatives such as the European Commission and any others to further the visibility and influence of Instruct-ERIC in the European RI Landscape; 
  • Help to develop and implement a yearly operational plan, including a draft budget and staffing plan;
  • Work with the Financial Administrator to oversee the Instruct-ERIC financial processes and draw up financial forecasts, budgets, annual financial reports and prepare for financial audits; 
  • Manage the operational aspects and execution of the yearly plan within the approved budget; 
  • Assess, prioritise and manage risks in the operation of Instruct-ERIC and communicate these to the Director; 
  • Support the Director in planning and preparing annual reports to the European Commission and any other bodies that require such a document; 
  • Provide operational and budget information to Council and prepare the agenda for Council meetings; 
  • Implement decisions taken by the Council in consultation with the Executive Committee and the Instruct centres;   
  • manage regular staffing requirements such as recruitment processes for staff employed by Instruct-ERIC, acting on behalf of the Director in certain circumstances such as annual staff appraisals and minor staff issues.

 Required qualifications and competences:

  • Scientific background with a PhD in a life science discipline. This need not specifically be focused on structural biology, but a reasonable understanding of the field is required;
  • At least five years of project management experience at a senior level, preferably leading a team or acting in a leadership role for one or more tasks or projects;
  • Experience of drafting briefing or report documents for senior academic boards and panels or writing grants;
  • Excellent communications and public relations skills;
  • Excellent written English;
  • The successful candidate must be prepared to be domiciled in the UK, within commuting distance of Oxford.
  • Willingness to travel within Europe and occasionally outside of Europe.

 Desirable attributes:

  • Familiarity with the European research framework, ideally the European Commission programmes (e.g. Horizon Europe), ESFRI and other European and international research infrastructures;
  • Excellent spoken English and one other major European language (which could be a mother tongue).
